Job Summary:
We are seeking a highly organized and professional Operations & Administrative Coordinator to support our Chatham, MA office. This is a part-time position (20 hours per week) that plays a key role in ensuring the smooth day-to-day operations of the office while providing administrative support to our design staff and leadership team.
Responsibilities:
Administrative Support:
• Serve as the welcoming “face” of SV Design, greeting visitors and handling phone coverage across multiple lines.
• Provide calendar tracking and scheduling support for staff.
• Assist with potential new client (PNC) intake forms, proposals, and digital filing.
• Support design staff with administrative tasks, organizing materials and samples, and occasional errands.
Technology Support:
• Maintain and inventory office technology.
• Coordinate with our IT provider as needed.
• Set up and manage Zoom/Skype meetings and related technology.
Operations & Facilities:
• Oversee supply inventory and ordering.
• Maintain a clean, organized, and presentable office environment.
• Coordinate with cleaning staff as needed.
• Perform daily opening and closing procedures.
Qualifications:
• Highly organized with exceptional attention to detail.
• Professional, resourceful, and approachable with a positive attitude.
• Able to thrive in a fast-paced environment and juggle multiple priorities.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with other software a plus.
• Previous experience in administrative and operational support preferred.
