Job Summary:

We are seeking a highly organized and professional Operations & Administrative Coordinator to support our Chatham, MA office. This is a part-time position (20 hours per week) that plays a key role in ensuring the smooth day-to-day operations of the office while providing administrative support to our design staff and leadership team.

Responsibilities:

Administrative Support:

Serve as the welcoming “face” of SV Design, greeting visitors and handling phone coverage across multiple lines.

Provide calendar tracking and scheduling support for staff.

Assist with potential new client (PNC) intake forms, proposals, and digital filing.

Support design staff with administrative tasks, organizing materials and samples, and occasional errands.

Technology Support:

Maintain and inventory office technology.

Coordinate with our IT provider as needed.

Set up and manage Zoom/Skype meetings and related technology.

Operations & Facilities:

Oversee supply inventory and ordering.

Maintain a clean, organized, and presentable office environment.

Coordinate with cleaning staff as needed.

Perform daily opening and closing procedures.


Qualifications:

Highly organized with exceptional attention to detail.

Professional, resourceful, and approachable with a positive attitude.

Able to thrive in a fast-paced environment and juggle multiple priorities.

Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with other software a plus.

Previous experience in administrative and operational support preferred.
